MCS Tips: Latest Updates: New Member Forms

Below you will find all kinds of useful information and tips to help you keep your WI's Membership Communication System details up-to-date.

Recent Changes made to the MCS by National for your WI are:

You can now download a List of members by Type ie. Active - Full/Dual.

Officers have been seperated from Other Positions

You can now scroll down a list of your whole membership without having to go to the next page.  

 MOODLE ACCESS 

WHAT THE MCS REP SHOULD DO for Members requesting MOODLE ACCESS;

  • Go to the Members Basic page. please ensure that the members current email address is in the Email address box and REMEMBER to save record.
  • Click on Positions on the green line - (new page now on view):
  • ......To allocate a new position Click Here - (new page on view):
  • Go to the Position (not specified) box click on the blue drop-down arrow: You are looking for ON-LINE LEARNER. You have to scroll nearly right to the bottom on the drop down. then ALLOCATE POSITION 

That is all you do. The member should then receive an email within 48 hrs with their login for Moodle.They can then take it from there. As usual any problems please telephone the office for help.

It is worth doing an Annual Check of your page and members list, please remove members (NOT IF A DUAL MEMBER) who have left your WI or moved away or who are now deceased.

When adding New Members to your WI please put the date of joining: they will then receive a New members Pack from National and the Federation.

We check the MCS every month and it would help if new members are added as soon as you can, They will also receive the membership Magazine -WI Life.

If your WI has a Website to ensure you are linked through the National website please put your web address into the space on your WI basic page.

WI MCS REPS INFORMATION
  • VENUE INFORMATION - If you should change your venue information please make sure the MCS is kept up to date by entering the appropriate details.  This will ensure that your meeting details appear correctly on the WI list page on the WI website.
  • VENUE ACCESSIBILITY - Make sure you amend the "Disability Access Options" box on your main WI information page if they change. It is found on your WI Basic details page.
  • POST CODES -  If the address is not as the Post Code enter a nearest one and change manually after you have created the members basic page.  
  • NEW MEMBER JOINING - Please remember when you enter a new member on to the MCS, you must enter the date they joined and the full address including the postcode - if this is not shown on the membership form, then please ask the member for the information.
    The date ensures they are picked up by NFWI as a new member, and they should then receive their welcome pack, as well as WI Life from the next available issue and also a Federation New Members Pack.
  • UP DATING INFORMATION - Make sure that you are kept up-to-date with current membership details - and this includes those members who have decided not to rejoin or are deceased they should be removed from the MCS list as soon as possible. Remember to change a members address if she moves!
  • UPDATING OFFICERS FOLLOWING ANNUAL MEETING - You may have to change some or all of your officers on the MCS database. 
    PLEASE NOTE that you will have to identify your new Secretary on your WI members list before deleting (revoking) the office against the previous Secretary's name.  If you try to delete the previous one first, you will get a message stating:
    SECRETARY - You cannot revoke this position from this member, as this would leave the institute without an active secretary.  To do so, you must first assign another member as secretary of this institute.
  • This is the case for all officers of your WI.
